PART ONE — PRIVACY POLICY

1. Who We Are

The Presence Room is an online coaching and workshop program operated by Shelley Brock, based in Brittany, France.

For the purposes of EU and UK data protection law, Shelley Brock is the data controller responsible for your personal information.

2. What Information We Collect

When you register for a free workshop, book a discovery call, or enroll in the 90-day program, we collect:

Your first name

Your email address

Your phone number (for WhatsApp/SMS communication)

Payment information (processed securely through our payment provider — we do not store card details directly)

We may also collect basic technical information when you visit our website, such as your IP address, browser type, and pages visited, through standard website analytics tools.

3. How We Use Your Information

We use your information to:

Send you workshop confirmation, reminder, and replay emails and messages

Deliver the services you have signed up or paid for

Send follow-up emails and WhatsApp messages related to the workshop and program

Respond to your enquiries

Improve our services and communications

We do not sell your personal data to third parties. We do not use your data for automated decision-making or profiling.

4. Legal Basis for Processing (EU & UK)

Under the EU General Data Protection Regulation (GDPR) and the UK GDPR, we process your personal data on the following legal bases:

Contract: To deliver the services you have registered or paid for

Legitimate interests: To send follow-up communications related to services you have shown interest in

Consent: Where you have explicitly opted in to receive marketing communications

You have the right to withdraw consent at any time by replying STOP to any WhatsApp message or clicking unsubscribe in any email.

5. How Long We Keep Your Data

We retain your personal data for as long as necessary to deliver our services and meet our legal obligations:

Workshop registrants who do not enroll in the program: up to 12 months from registration

Program participants: up to 3 years from program completion, for administrative and legal purposes

Payment records: up to 7 years, as required by French and EU accounting law

You may request deletion of your data at any time — see Section 7 for your rights.

6. Who We Share Your Data With

We share your data only with the third-party service providers necessary to deliver our services. These currently include:

LeadConnector / HighLevel — our CRM and email/SMS automation platform

Zoom — for online workshop and session delivery

Payment processor — Stripe

Website analytics — Meta Analytics

All third-party providers are required to handle your data securely and in accordance with applicable data protection law. Where providers are based outside the EU or UK, we ensure appropriate safeguards are in place.

7. Your Rights

Depending on your location, you have the following rights regarding your personal data:

EU and UK residents (GDPR / UK GDPR):

The right to access your personal data

The right to correct inaccurate data

The right to request deletion of your data

The right to restrict or object to processing

The right to data portability

The right to lodge a complaint with your national data protection authority

US residents: Depending on your state, you may have rights under applicable state privacy laws, including the right to know what data we hold, the right to request deletion, and the right to opt out of certain uses of your data. We honor these requests regardless of state.

8. Cookies

Our website may use basic cookies for functionality and analytics purposes. You can control cookie settings through your browser. We do not use advertising or tracking cookies beyond standard analytics.

9. Data Security

We take reasonable technical and organizational measures to protect your personal data from unauthorized access, loss, or misuse. All data is stored within secured third-party platforms as described in Section 6.


10. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will update the effective date at the top of this document. Continued use of our services after any change constitutes acceptance of the updated policy.


PART TWO — TERMS OF USE

11. Acceptance of Terms

By registering for a free workshop, booking a discovery call, or enrolling in the 90-day Presence Room program, you agree to these Terms of Use. If you do not agree, please do not use our services.

12. The Services

The Presence Room offers:

A free 75-minute introductory workshop, held weekly online via Zoom

A 90-day group coaching program delivered in twelve weekly sessions via Zoom

Optional 1:1 coaching sessions

Related email, WhatsApp, and digital communications

All services are delivered in English. Sessions are conducted online. Participants are responsible for their own internet connection and equipment.

13. Payments and Refunds

Workshop: Free. No payment required.

90-day program:

Full payment option: €1,080, due at enrollment

Instalment option: €1,200 total, paid in three monthly instalments of €400

1:1 alongside group: €2,200, payment terms confirmed at enrollment

1:1 only: €1,200, payment terms confirmed at enrollment

Refund policy: We want every participant to feel confident in their investment. Our policy is as follows:

If you withdraw before the second session, you are entitled to a full refund minus any payment processing fees

After the second session, no refunds are available — the investment is considered committed

If for any reason Shelley Brock is unable to deliver the program, a full pro-rata refund will be issued for sessions not yet delivered

14. Participant Responsibilities

By enrolling, you agree to:

Engage with the program in good faith and with genuine willingness to participate

Treat other group participants with respect and confidentiality — what is shared in group sessions remains within the group

Attend sessions or watch recordings within a reasonable time to maintain continuity of practice

Take responsibility for your own wellbeing throughout the program


15. Not a Substitute for Professional Care

The Presence Room is a coaching and inner practice program. It is not therapy, counseling, medical treatment, or mental health services. It does not diagnose, treat, or cure any condition.

If you are experiencing acute mental health difficulties, crisis, or require clinical support, please seek appropriate professional care before or alongside participating in this program. We reserve the right to suggest this to any participant whose needs appear to exceed the scope of this program.


16. Confidentiality

Shelley Brock will keep all personal information shared by participants strictly confidential, except where disclosure is required by law.

Participants in group programs agree to keep confidential all personal information shared by other participants within sessions.

Session recordings are for participant use only and may not be shared, published, or distributed without written permission.


17. Intellectual Property

All workshop and program content — including materials, frameworks, practices, written content, and recordings — is the intellectual property of Shelley Brock and The Presence Room. Participants may not reproduce, share, or commercialize any content without prior written permission.


18. Limitation of Liability

To the fullest extent permitted by applicable law, Shelley Brock and The Presence Room are not liable for any indirect, incidental, or consequential damages arising from participation in any workshop or program. Our total liability for any claim arising from our services is limited to the amount paid for the relevant service.


19. Governing Law

These Terms are governed by the laws of France, as the country in which the service provider is based. For participants in the UK, statutory consumer rights under UK law are not affected. For participants in the US, any disputes will be resolved by binding arbitration in accordance with applicable law.
